Terms and Conditions (T&Cs)
We (Wellbeing Republic Limited) are a business and therefore do need to have some terms and conditions to help provide some clarity of what you can expect from us and what we expect from you in relation to the Retreat. However, we are committed to providing you with a brilliant experience and will do as much as we can reasonably do to ensure the experience meets or exceeds your expectations.
On making a booking with us, each person participating in the Retreat must accept the terms and conditions contained within these T&Cs and pay a deposit of £495 per person towards the total cost of the Retreat. The balance of the total price must be paid in full at least 4 weeks before the Retreat commencement date (we will aim to issue a final invoice at least 6 weeks in advance of the Retreat commencing). For bookings made within 4 weeks of arrival, the full payment becomes due immediately. Any cancellation of a confirmed booking or late or non-payment of the balance will carry cancellation charges as set out in clause 4 below.
1. BOOKING CONFIRMATION
Your booking is considered definite and a contract will exist between you and Wellbeing Republic Limited only when we have confirmed your place by email and we have received your deposit (or, in the case of bookings made less than 4 weeks prior to arrival, where we have received full payment for your place at the Retreat) and a confirmation invoice and email is sent to you. No contract will exist between us prior to our issuing the confirmation invoice. If the balance of the price of the Retreat is not paid in time, we reserve the right to cancel your place on the Retreat, retain your deposit and apply the Cancellation Charge set out in Paragraph 4 below.
2. PRICE INCREASES
We reserve the right to increase the prices published on our website prior to the time that you book your place on the Retreat. Any increase in price will be advised to you before you book your place on the retreat.
3. RETREAT PRICES
Our Retreat prices include accommodation, all advertised meals, tuition, materials, group and 1-2-1 coaching, group fitness and daily yoga class (where applicable) and a guided hike. Our prices exclude transport to/from the retreat venue on arrival or departure of the Retreat (whether by plane, train, car, taxi or otherwise), travel insurance, any spa treatments during the retreat (unless specified), laundry and tips. Also excluded are any trips or excursions arranged by yourself whilst at the Retreat.
4. CANCELLATION BY YOU
You may cancel your place on the Retreat at any time providing that the cancellation is made by the person who made the booking and is communicated to us by email to email@example.com. Cancellation will take effect the day such notification is received by us. If you fail to pay your deposit or balance by the due date then your place on the Retreat will be automatically cancelled and the following charges will apply. As cancellation incurs administrative costs, we will charge a £50 administration fee should you cancel more than 60 days prior to arrival. In addition, we may apply cancellation charges up to the maximum shown below:
More than 60 days prior to arrival: Full refund (less £50 administration fee)
30-60 days prior to arrival: 50% of the Retreat cost
Less than 30 days: 100% of the Retreat cost
Once the Retreat has commenced, no refund or part refund or unused portion of the retreat will be repaid in the event of cancellation by you. If the reason for cancellation is covered under the terms of an insurance policy, you may be able to reclaim these charges. Please note that if the reason for your cancellation is covered under the terms of your insurance policy you may be able to reclaim these charges.
5. INSURANCE, HEALTH & PSYCHOLOGICAL HEALTH
5.1 INSURANCE. We strongly recommend that you purchase full travel insurance to cover the activities on the Retreat and to indemnify you for your liability should you need to cancel your place on the Retreat at short notice due to unforeseen circumstances.
5.2 HEALTH. We have arranged suitable public liability insurance that will cover you for accidents that occur during the activities we have arranged during the retreat that are caused by any negligence on the part of our suppliers. You need to have your own travel insurance and provide us with those details in case of emergency. You should also check with your doctor that you are sufficiently fit and healthy to undertake hiking, running/jogging, yoga classes and any other physical activity we have arranged or you may arrange during the retreat. Please check with your own doctor that you are adequately fit and that any medication you may be taking does not prevent you from full participation. If you experience any injury or discomfort during any activity organised for you, then you must stop the activity immediately and advise your Retreat host accordingly.
5.3 PSYCHOLOGICAL HEALTH. Our Retreats have been designed for those looking to fulfil their true potential, who want to better understand why they do what they do and adopt new thought patterns and behaviours that will help them thrive. Participants need to be a stable headspace to benefit from tuition and coaching. The Retreats are unfortunately not designed (nor are our coaches equipped) to help anyone who may be suffering from a serious clinically diagnosed mental health condition. Should you have such a condition please be advised that the Retreat may not be suitable for your needs. We would also ask that anyone who has experienced a personal crisis (including divorce or significant bereavement) within the six months leading up to the retreat should consider holding off booking their place until such time that they have moved past such a crisis. If, after the introductory 1-2-1 coaching session, it is determined that you are not in a sufficiently psychologically healthy place to attend the Retreat, we reserve the right to defer or cancel your place. If we cancel your place, you will be entitled to a refund of any money paid by you to us only (the compensation element detailed in clause 7 will not apply in these circumstances). If we identify that you have withheld important information regarding your psychological health and your place is cancelled as a result, you will be treated as having cancelled your place and the provisions of clause 4 shall apply.
6. AMENDMENTS BY US
It is unlikely that we will have to make any changes to the retreat, but we do plan the arrangements many months in advance. Occasionally, changes may have to be made (e.g. to itineraries, venue accommodation, coaching staff, chefs, yoga teachers or other Wellbeing Republic representatives, or other arrangements), which we reserve the right to do at any time. Changes are normally minor and we will advise you at the earliest possible date. If your accommodation has to be changed, we will do our utmost to provide accommodation of a similar rating. If a significant change becomes necessary before your arrival, we will inform you as soon as reasonably possible if there is time before your arrival to do so. Should a significant change occur before your arrival, then provided that it does not arise through circumstances amounting to force majeure (see below), you will have the choice of either accepting the change of arrangements, booking another Retreat with us, or cancelling your place on the Retreat and receiving a full refund. If you choose another retreat that is more expensive you must pay any difference, but it if is cheaper we will make the appropriate refund. In all cases, we will pay compensation as detailed below:

(a) Compensation payments will not apply if payment of your Retreat has not been received by Wellbeing Republic Limited by the stipulated payment date(s).
(b) Compensation will not be paid if Wellbeing Republic Limited is forced to cancel or in any way change the Retreat (or your attendance on it) due to unusual or unforeseeable circumstances beyond our control such as war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, epidemics and pandemics, fire, adverse weather conditions (including snow and volcanic ash), technical or maintenance problems with transport, or other circumstances which amount to force majeure.
7. CANCELLATION BY US
Wellbeing Republic Limited reserves the right in any circumstances to cancel the Retreat, in which case we will offer a refund in full of all monies paid. If we cancel the Retreat we will pay you compensation as set out in clause 6 above. In addition, if we cancel the Retreat (or your place at the Retreat) within 30 days of the scheduled Retreat commencement date, we will refund you your reasonable travel expenses which have been properly incurred up to £100 (we will not refund any travel expenses outside of this period and recommend you purchase travel insurance to cover any such eventuality).
8. OUR LIABILITY TO YOU
8.1 We accept responsibility for ensuring that the retreat that you book with us are supplied as described and that the services we are contractually obliged to provide are to a reasonable standard. We accept responsibility for the acts and/or omissions of our employees, agents and suppliers except where they lead to death, injury or illness (see below). However, we will not be liable where any failure in the performance of the contract is due to: you; or a third party unconnected with the provision of the travel arrangements and where the failure is unforeseeable or unavoidable or unusual and beyond our control. Our liability will also be limited to a maximum of twice the price paid for the retreat (other than in cases of death or injury).
8.2 We accept responsibility for death, injury or illness caused by the negligent acts and/or omissions of our employees or agents, together with our suppliers and sub-contractors, servants and/or agents of the same whilst acting within the scope of, or in the course of their employment in the provision of the Retreat. We will, accordingly, pay to you (or your estate such damages as might have been awarded in such circumstances under English law.
8.3 Optional trips booked locally are not our responsibility. However please note the following: there are risks inherent with any activity undertaken on such a retreat and with physical exercise generally. We strongly recommend that you consult your doctor before attending the Retreat to advise on your ability to undertake strenuous exercise. You should make your doctor and us aware of any medical condition(s) which may affect your ability and comfort when undergoing vigorous exercise. it is your responsibility to notify us if you are not medically well enough to undertake an activity or need to stop participating in an activity due to becoming unwell.
If you have a problem while attending the Retreat, please inform a member of our team immediately, who will endeavour to put things right. If your complaint cannot be resolved at the time for any reason, you must advise us by email (email@example.com) on your return within 28 days giving your booking reference number and other relevant information. If you do not follow this simple procedure we will have been deprived of the opportunity to investigate and rectify your complaint whilst you were are at the retreat and this may affect your rights in bringing a claim against us. Please note that we cannot guarantee the proportion of male/female in any group, not be responsible for the individual behaviour of any group member or other guest at your accommodation.
10. PASSPORTS, VISAS AND HEALTH REQUIREMENTS
You are responsible for ensuring that you have a valid passport and any necessary visas and any necessary or required inoculations or other health requirements. We do not accept any responsibility if you cannot travel because you do not have the correct documents to travel.
11. GOVERNING LAW & JURISDICTION
This contract is made on the terms of these T&Cs, which are governed by English law and the exclusive jurisdiction of the English Courts.
By accessing this website you enter into a contract with Wellbeing Republic Limited whereby your use of the website is subject to these terms and conditions.
